Online applications for the 2024-25 academic year are now open for Year 1-10 applicants.

Please read the following instructions carefully before proceeding to our Online Application system

Before you begin an application, please familiarise yourself with our age guidelines for entry and please confirm that your child’s date of birth falls within the correct year group.


We recommend using a desktop or laptop computer to complete the application form. Smartphones and tablets are unsuitable devices due to their screen size and formatting limitations.

Procedures for applying to Malvern College Tokyo:

  • Completion of the Online Application Form, including uploading a photograph and all required documentation.

  • Payment of 22,000 JPY. Applicants should send payment via Bank or Wire Transfer. All payments must be cleared to be considered duly paid.

Please note:  All the above steps must be completed before we can arrange an assessment interview.

Required Documentation

Please create a ‘Parent Log-in’ account and collate the required supporting documentation ready for upload prior to completing our online application form.


Documents, other than the digital photograph, should be uploaded in PDF format and be no larger than 800kb per file. We accept documents in English and Japanese except School report(s) and educational report(s) which should be translated into English by a professional translator or consular service.  

  1. Digital Photo of Applicant

  • Colour passport-style portrait taken within the past three months

  • Plain background

  • Photo should show full frontal face with clear facial features

  • File Type: JPEG (.JPG) File

  • File Size: 800KB or below

  • Scanned Image Dimensions: 40mm(W) x 50mm(H) at 600 dpi

  • Digital Camera Image Dimensions: 1200(W) x 1600(H) pixels


  2. Identity Documents

  • Applicant’s birth certificate (required), Koseki Touhon (戸籍謄本)’ or ‘Koseki Shohon (戸籍抄本). 

  • Applicant’s Passport information page (required).

  • Both parents’ Passport information pages (required).

  3. School Reports and Recommendation Form 

  • Please provide school reports or transcripts for the previous two years plus a current year report if available.

  • Two Confidential Recommendation Form (English or Japanese) to be completed by the most recent teachers. An additional form can also be completed by the applicant’s teacher from the previous school year if necessary. In the applications system, parents will be asked to provide two email address and our admissions team will send a digital recommendation form to the teachers. 

  4. Other Document(s) (If applicable)

  • In addition to the above, parents must also provide for review and consideration, any other information that may be relevant to the applicant’s ability to meet the admissions requirements. This may include information relating to the applicant’s ability to read and write English, their general academic level and their learning abilities, specific educational psychology assessments, medical, speech therapy, occupational therapy, IEP counselling or any other such reports. 

  • Please do not submit personal portfolios including artwork, photographs, essays, videos, and audio recordings as they will not be considered in the application process.

  5. Payment of Application Fee

  • The application fee of 22,000 JPY is payable per applicant.

  • The application fee covers the cost of all administrative activities and is payable upon the submission of the application. This fee is non-refundable

Completing the Online Application

  • Please complete one form per applicant.

  • Please fill out the form in English (avoid all capital letters) as this will assist with processing.

  • Please ensure the form is completed accurately. All names must be written as shown on the child’s ID or Passport as they will be used in school reports and graduation certificates once accepted into the school.

  • Failure to observe the above will cause delays or rejection of your application.


Once the online application is submitted, you will receive an auto-generated email acknowledgment.
